Terms & Conditions – Sanatana Travels

Acceptance of Terms
By booking a trip with Sanatana Travels, you agree to abide by these Terms & Conditions, which define our services and participant responsibilities.
ID Verification
All participants must submit valid government-issued photo identification after booking confirmation. Failure to provide valid ID will result in cancellation without refund.
Property Care & Cleanliness
Participants must maintain cleanliness in hotels, vehicles, and surroundings. Damage to property will be chargeable to the participant.
Personal Belongings
Participants are solely responsible for their personal belongings. Sanatana Travels is not liable for loss, theft, or damage of luggage or valuables.
Accommodation Facilities
In remote or pilgrimage destinations, amenities such as 24/7 electricity, hot water, or Wi-Fi may not always be available.
Room Category
All packages include standard rooms. Room upgrades are subject to availability and additional cost, payable directly to the hotel.
Multiple Hotel Arrangements
For large groups, accommodation may be arranged in more than one hotel of similar category. Minor differences may occur.
Meal Plan
Meals are generally provided as fixed menus or buffets. Indian vegetarian meals will be arranged wherever possible. Snacks and beverages may not be included.
Activities & Safety
Participation in any physical or optional activity is at the participant’s own risk. Safety instructions must be strictly followed.
Travel Insurance & Medical Expenses
Participants are strongly advised to obtain travel insurance. All medical or emergency expenses are the responsibility of the participant.
Misconduct & Tour Removal
Any misconduct, disturbance, or inappropriate behavior may lead to immediate removal from the tour without refund, at the participant’s expense.
Drugs & Narcotics
Use or possession of illegal drugs or substances is strictly prohibited. Legal consequences, if any, will be borne solely by the participant.
Punctuality & Missed Transfers
Participants must strictly follow schedules. Missed transfers, activities, or departures due to late arrival will not be refunded.
Use of Photos & Videos
Sanatana Travels reserves the right to use photos and videos taken during the trip for promotional and marketing purposes.
Unforeseen Circumstances
Sanatana Travels is not responsible for delays, cancellations, or itinerary changes due to weather, road conditions, political situations, or natural calamities. Additional costs will be borne by participants.
Payment Policy
Full payment must be completed at least 20 days prior to departure. Non-payment may result in cancellation.
Transfer of Bookings
Bookings are non-transferable. Only confirmed participants are permitted to travel.
Discounts & Offers
Discounts or promotional offers are subject to change or withdrawal without prior notice.
Non-Refundable Services
No refunds will be provided for unused services, inclusions, or voluntary non-participation.
Reporting Time
Participants must arrive at pickup points at least 10 minutes before departure. No refunds will be issued for missed departures.
Alcohol & Smoking Policy
Alcohol consumption and smoking are discouraged during spiritual journeys. Violators may be removed from the tour without refund.
Liability Disclaimer
Sanatana Travels is not liable for accidents, injuries, illnesses, or death during the journey and will not issue refunds in such cases.
Itinerary Changes
Sanatana Travels reserves the right to modify the itinerary in the interest of safety or operational requirements.
Emergency Evacuations
Any emergency evacuation, medical transport, or related expenses will be borne by the participant or their family.
Borrowing Money
Sanatana Travels is not responsible for personal financial transactions or money borrowed between participants.
Dispute Resolution
All disputes shall be governed by Indian law, with jurisdiction limited to the city where Sanatana Travels is registered.
Tour Discontinuation
If a participant leaves the tour due to illness, personal reasons, or loss of documents, no refund will be issued for unused services.
Transport Arrangements
Vehicles and luxury buses may be operated by third-party providers. Delays due to breakdowns or traffic may occur.
Triple Sharing Rooms
In triple-sharing accommodations, the third participant will be provided with an extra mattress.
Trip Delays & Connecting Transport
a. Alternate arrangements will be made where possible
b. No refunds for late arrivals or missed connections
c. Additional transport costs will be borne by participants
d. Participants are advised to plan buffer time
